The Organization

The Pleasanton Downtown Association (PDA)is seeking a professional, highly organized, and energetic individual to join our team. The Office & Membership Manager shall function as the corporation’s financial records administrator, manages membership records and database, assists at PDA events and activities as needed, manages the PDA’s website, and provides staff support to the Events Manager and Executive Director as needed. This position is parttime and reports to the Executive Director. 

Position Description 
  • Provide excellent customer service to all PDA members, visitors, and vendors

  • Be a positive and professional reflection of the organization

  • Manage Downtown Gift Card program

  • Coordinate weekly PDA Farmers’ Market tables

  • Assume additional responsibilities and projects as assigned by the Executive Director

Duties and responsibilities in the following areas


  • Process all payables and receivables

  • Bank and credit card reconciliations 

  • Make bank deposits

  • Provide accurate and timely financial reports 

  • Assemble information for external auditors 

Membership Management 

  • Onboard all new businesses into the organization

  • Maintain membership database of both new & closed businesses

  • Update PDA website weekly – ensure its accuracy and trace key metrics

  • Serve as a touchstone for PDA members with questions about Downtown & the organization

  • Manage the Farmers Market PDA Table program and serve as the liaison for the PDA to our Farmers Market

  • Manager the PDA’s Gift Card Program – including working with the gift card vendor, ensuring all participating businesses are running correctly, onboarding new businesses, providing ongoing education to our businesses and customers

  • Work all PDA events, including Concerts in the Park, 1st Weekends, Crawls & Strolls and others as needed (this will include nights & weekends on occasion)

Office Supplies & Equipment 

  • Inventory office supply items, monitor use of items

  • Oversee computer and office equipment repairs and maintenance

  • Oversee the maintenance of the office space and utilities

  • Knowledge with QuickBooks software 

  • Ability to lift up to 25 pounds regularly 

This position is part-time approximately 30 hours per week. Flexible schedule, including occasional nights and weekends. This position is hourly and does not include medical benefits.
